Google Docs is part of the office suite software offered within Google’s own Google Drive service. This also includes Google Slides and Google Sheets. Thanks to its easy sharing features, you can edit the contents together and instantly. You can easily use comments, suggestions and action items to achieve the results you want. Applications are compatible with Microsoft Office file formats. This package also includes -as many of you know- Google Forms, Google Drawings and Google Tables (beta). Forms and Tables are available only as web apps, while Drawings are also available as Chrome apps. Let’s explore these features and then examine together how to work more efficiently in Google Docs.

With Google Docs you can create and edit text documents directly in your web browser. You don’t need any special software you must have for this. You can instantly see the changes people make. Because every change is saved automatically. So you no longer have to scroll through individual Word files that can only be used by one person at a time. We can say that this is a great time saver. Besides, it is compatible with phone and computer and allows you to continue your work offline.

1- Try voice typing

The most important tool that allows you to translate the audio recording into text with Google Docs. You can open the Voice Typing tool via the Tools menu or by using the shortcut Ctrl+Shift+S on Windows or Cmd+Shift+S on macOS. The moment you open it, the tool will start, just click on it to close it. By the way, the voice typing feature is more useful than you think. For example, it is supported by commands such as “select paragraph” and “go to end of line”. We can say that it supports Excel commands at a somewhat simple level.

2- Quickly create new documents

Create and collaborate on documents online in real-time from any device. If you want to quickly create a new Google Docs document, simply type “docs.new” in your browser’s address bar and press Enter. You can even create a desktop shortcut or a browser bookmark that points to the same hyperlink shortcut if you want to speed up the process even more.

3- Create your own changes

In Google Docs, open the Tools menu and select Preferences. Next, switch to Substitutions. As you type, you’ll see a list of character combinations that Google Docs will automatically replace with something else. Use the Replace with and With boxes at the top of the list to create your own replacements. You can also edit your existing subscriptions here. You can remove substitutions using the crosses on the right. Or you can disable and enable substitutions using the checkboxes on the left. How you use the replacements is entirely up to you. We can use Google Docs, which is a really easy to learn, enjoyable and practical application, in every aspect of our lives.

4- Work in harmony with your e-mails

As you know, Google Docs depends on Google’s email client. Therefore, a Gmail account is very important for you to use Google Docs comfortably. Click Add from within Google Docs to get started. Then select Building blocks and finally Email draft. You can mention people with “@” to fill in their e-mail addresses and type in the e-mail main text field. When you’re ready to send to Gmail, just click the blue email icon to the left in Google Docs and a new Gmail draft will appear on your screen.

5- Font and layout settings

Did you know that you don’t have to stick with the standard look that Gmail provides to everyone? You can adjust the layout and text formatting options to suit you best. For example, fonts, size, color, etc. may be part of it. For this, you can open the font list and just above the list, you can select “Add fonts” to import new ones. In addition, if you open the File menu and choose Page Layout, you may also see the option to switch to a Pageless view, which looks like a long document without page breaks.

6- Make use of templates

Creating files of the same type over and over can also cause inconsistencies while taking up team members’ time. You can save time by using templates in Google Docs, Sheets, Slides, Forms or Sites. If you have a file open in one of the docs editors, click it and choose the template you want.

7- Video call feature

Another Google product where Docs works well is Google Meet. Especially due to the restrictions caused by the pandemic, video calls have become much more common than before. In response to this, Google added a Meet button to the upper right corner of the Docs interface. Once you have a document open, you can click on the symbol in the upper right corner and select Start a new meeting. However, there is one detail you should not forget: everyone else in the conversation can see the current document while you are chatting.🙂
